We asked our Brisbane Party Planner, Shenaye, to share a few of the things she's learnt while helping clients create memorable outdoor celebrations.
1. Always Have a Plan B (Even If the Forecast Looks Perfect!)
"Queensland weather loves to keep us guessing!" laughs Shenaye. "I've seen parties where we've had sunshine, wind and a storm all in the one afternoon. Having a backup plan—whether that's a marquee, an indoor option or even extra umbrellas—takes away so much stress."
A marquee isn't just for rainy days either. It can provide welcome shade during the hottest part of the day and creates a beautiful focal point for your party styling.
2. Think About How Your Guests Will Move Around
One of the biggest differences between a great party and an awkward one often comes down to the layout.
Rather than squeezing everything into one area, create different spaces where guests naturally gather.
You might have:
- A welcoming drinks station
- A grazing table
- A relaxed lounge area
- Dining tables
- A dance floor
- Lawn games for kids (or competitive adults!)
"People love to wander and discover different spaces throughout the party," says Shenaye. "When everything flows naturally, guests feel more relaxed."
3. Don't Forget About Lighting
Outdoor parties often start in the afternoon but finish well after sunset.
"As soon as the sun goes down, lighting completely changes the atmosphere," says Shenaye. "It's one of those details people don't think about until it's too late."
Festoon lights, fairy lights, candles, lanterns and uplighting all help create a warm, inviting atmosphere that keeps the party going long into the evening.
4. Keep the Styling Simple
You don't need extravagant decorations to create a beautiful outdoor party.
Some of our favourite styling ideas include:
- Fresh seasonal flowers
- Linen tablecloths
- Candles
- Textured napkins
- Coloured glassware
- Natural timber furniture
- Statement signage
"Sometimes less really is more," says Shenaye. "A few beautiful pieces chosen well often have much more impact than trying to decorate every corner."
5. Make Food Easy to Enjoy
Outdoor entertaining should feel relaxed.
Whether you're serving a grazing table, wood-fired pizzas, shared platters or canapés, think about what works best for your guests and the style of party you're hosting.
"We always encourage clients to think about how people will actually eat," says Shenaye. "If guests are standing most of the night, finger food works much better than meals that need balancing on a tiny cocktail table!"
6. Create Somewhere People Actually Want to Sit
One thing we've noticed over the years is that guests naturally gravitate towards comfortable spaces.
A few lounges, outdoor rugs, cushions and coffee tables can completely change the feel of a backyard and encourage people to settle in and enjoy themselves.
It's also the perfect place for grandparents, parents with little ones or anyone wanting a quieter chat away from the music.
7. Give Guests Something to Talk About
Some of the most memorable parties include one unexpected feature.
It could be:
- A cocktail cart
- A champagne tower
- Live music
- A gelato cart
- A photo booth
- A custom neon sign
- Lawn games
- An espresso martini station
"It doesn't have to be expensive," says Shenaye. "One fun feature gives guests something to experience together and often becomes everyone's favourite memory from the day."
8. Let Yourself Enjoy the Party Too
This might be Shenaye's biggest piece of advice.
"So many hosts spend the whole party topping up drinks, clearing plates and worrying about everyone else," she says. "You've put so much effort into planning your celebration—you deserve to enjoy it too."
Whether that's asking family to help, hiring a few staff or having a party planner coordinate everything behind the scenes, a little extra support means you get to spend more time making memories with your guests.
